Electronic invoicing

Modified on Tue, 13 Oct at 9:24 AM

Moment sends all electronic invoices and credit notes in the PEPPOL BIS Billing 3.0 format (known as EHF 3.0 in Norway).

Before sending, every invoice is validated against PEPPOL rules to ensure it can be accepted by the recipient.

An e-invoice is a structured XML file that can be processed automatically by the recipient's accounting system.

A PDF copy of the invoice, hour specifications, and other attachments can also be included.
To avoid confusion for recipients, it is recommended to keep Attach PDF version of invoice to EHF invoices enabled.

Moment automatically includes key invoice information such as:

  • Invoice number, date, and due date
  • Customer and order references
  • Contract and project references
  • Invoice text and notes
  • Contact information
  • Bank account details
  • OCR/KID (payment ID)
  • VAT information
  • Attachments

Most references are copied from the customer, project, or company settings when the invoice is created, but can be edited before sending.

Every company in the PEPPOL network has a unique e-invoicing address called a PEPPOL ID.

A PEPPOL ID consists of:

  • An address type (ICD)
  • An identifier (usually the company registration number)

Examples:

  • Norway: 0192 + Organization number
  • Sweden: 0007 + Organization number
  • Denmark: 0184 + CVR number

Moment automatically builds the PEPPOL address based on the information registered on the customer and company.

To receive e-invoices, a customer must have:

  • Valid postal address information
  • Company registration number
  • A valid PEPPOL ID
  • Preferred delivery method set to E-invoice (optional but recommended)

Moment verifies the recipient's PEPPOL address automatically before sending.

To send e-invoices:

  • Your company must have a company registration number.
  • The company must be VAT registered.
  • Company information must be configured under Setup → Company.

No separate registration with an e-invoicing provider is required.
PEPPOL is activated automatically when your first e-invoice is sent.

To send an invoice:

  1. Finalize the invoice.
  2. Click Send invoice.
  3. If the recipient can receive e-invoices, Send as e-invoice is selected automatically.

If e-invoicing is unavailable, Moment explains the reason and suggests email instead.

You can optionally include:

  • PDF invoice copy
  • Hour specifications
  • Invoice attachments
  • Email copies to recipients

Multiple invoices can also be sent from Finances → To be invoiced.

Moment regularly checks delivery status and stores all sending activities in the invoice history.

If delivery fails, Moment displays an error message explaining why the invoice could not be delivered.

Common causes include:

  • Invalid customer reference
  • Missing PEPPOL address
  • Validation errors
  • Recipient-specific requirements

After correcting the issue, the invoice can be sent again.
