The Time Approval Process explains how time moves through the system—from registration to approval and reporting.

This page helps you understand how the different parts of time management work together and what needs to be completed before invoicing and reporting.

Where to find it

This is a conceptual workflow and is supported by several pages under: Company

Overview of the process

The time workflow consists of four main steps:

  1. Time is registered by employees
  2. Timesheets are completed and checked
  3. Hours are reviewed and approved
  4. Approved data is used for reporting and invoicing

Step 1: Register time

Employees register time on projects, activities, or absence. All registered time becomes the foundation for reporting and invoicing.

Relevant pages:

  • Hours overview
  • Performance

Step 2: Complete timesheets

Before approval, you must ensure that all employees have submitted their timesheets for the selected period.

Use the Timesheet Status page to verify completion.

  • Check who has missing entries
  • Follow up employees if needed

Relevant page:

  • Timesheet Status

Step 3: Review and approve hours

Once timesheets are complete, hours should be reviewed and approved.

  • Check for missing or incorrect registrations
  • Validate project and activity distribution
  • Approve correct entries

Relevant page:

  • Hours Overview

Step 4: Use approved data

Approved time is used for reporting, invoicing, and analysis.

  • Billable Time Report → utilization and profitability
  • Performance → team and individual analysis
  • Forecast → future planning

How absence affects the process

Absence is included in time calculations and impacts:

  • Time balance
  • Availability
  • Utilization rates

Configuration of absence types determines how they affect calculations.

Why this process matters

  • Ensures accurate invoicing
  • Improves reporting quality
  • Prevents missing or incomplete data
  • Supports reliable performance tracking

Common mistakes

  • Approving hours before timesheets are complete
  • Missing follow-up on incomplete registrations
  • Ignoring absence impact on calculations
  • Using unapproved data for invoicing

Best practice

  • Check Timesheet Status regularly (e.g. weekly)
  • Approve hours consistently in batches
  • Always verify data before invoicing
  • Use Performance and Reports for validation

Next steps

  • Go to Timesheet Status to ensure completeness
  • Use Hours Overview to review and approve time
  • Analyze results in Billable Time Report
  • Review performance in Performance
