Activities
Activities define the structure of a project and represent the work that needs to be completed. They are the core building blocks of a project.
All time registration, planning, and billing are connected to activities, making them essential for both execution and financial tracking.
What activities are used for
- Structuring the project into manageable parts
- Registering time
- Connecting work to price models
- Organizing tasks within the project
How activities work
Each project consists of one or more activities. These represent different types of work within the project.
Examples of activities could include planning, development, design, or meetings.
All work in the project should be registered on an activity.
Managing activities
Adding activities
- Open the project
- Go to the Activities page
- Create a new activity
- Define name and settings
Editing activities
You can update activities at any time to reflect changes in the project.
- Edit name and description
- Adjust settings and configurations
- Update connected price models
Activities and time registration
All time must be registered on an activity.
- Users select an activity when registering time
- This ensures correct tracking of work and costs
Restricting time tracking permissions:
By default, all project members are able to log hours into an activity, even if they are not explicitly added to it. To allow only specific activity members to register time:
- Open the project
- Go to Activities page
- Click the edit icon on the desired activity
- In the edit modal, locate the Activity members column on the right
- Enable time tracking permissions and review that every member has the "Yes" checkbox marked.
If this setting is not enabled, all project resources will be able to log hours on the activity.
Activities and price models
Activities are directly linked to price models, which define how work is billed.
- Each activity can have its own pricing rules
- This affects both cost and revenue calculations
To learn more, see Price Models.
Activities and project plan
Activities are used in the Project Plan to allocate time and resources.
- Plan hours per activity
- Assign work to team members
To learn more, see Project Plan.
Tasks within activities
Activities can contain tasks, which represent specific work items.
- Tasks break down activities into smaller steps
- They help organize and track detailed work
Tasks are often used in combination with project templates to standardize work processes.
Best practices
- Keep activities clear and well-defined
- Avoid too many or overly detailed activities
- Use consistent naming across projects
- Align activities with how work is billed
Why this matters
- Ensures accurate time tracking
- Improves project structure and clarity
- Supports correct billing and reporting
- Makes planning and follow-up easier
